BOOKING TERMS, PAYMENT AND CANCELLATION POLICY
These Booking Terms and Conditions apply to tour packages and travel services booked through Global Vectra Trips Pvt. Ltd. Customers are requested to read these terms carefully before making any payment or confirming a booking.
By making a booking payment, the customer acknowledges and accepts the applicable booking, payment and cancellation conditions.
A 25% non-refundable booking amount of the total package cost is required to initiate the booking when the travel date is more than 30 days from the date of booking.
An additional 25% payment will be required after confirmation of the major travel services, making the total payment 50% of the package cost.
100% payment must be completed at least 21 days before the scheduled departure date.
For bookings made within 21 days of departure, full payment may be required at the time of confirmation.
Hotel rooms, ferry/cruise tickets, vehicles, sightseeing services, activities and other travel arrangements are subject to availability at the time of actual booking and confirmation.
A booking will be considered confirmed only after receipt of the applicable payment and confirmation of the required travel services.
Merely submitting an enquiry, itinerary request or quotation request does not constitute a confirmed booking.
Payments must be made according to the payment schedule communicated at the time of booking.
Standard Payment Schedule:
Booking Initiation: 25% of Total Package Cost
After Major Service Confirmation: Total Payment to Reach 50%
At Least 21 Days Before Departure: 100% Payment
Full and final payment must be received before commencement of travel.
Failure to make payment within the specified timeline may result in cancellation or release of reserved hotels, vehicles, ferry/cruise tickets or other services.
Any additional amount arising from changes requested by the customer must be paid before the revised service is confirmed.
Cancellation charges will generally be calculated on the total package cost as follows:
Booking Amount:
25% - Non-Refundable
30 Days or More Before Departure:
25% of Total Package Cost
16 to 29 Days Before Departure:
50% of Total Package Cost
11 to 15 Days Before Departure:
80% of Total Package Cost
10 Days or Less Before Departure / No-Show:
100% of Total Package Cost
Cancellation requests must be communicated to Global Vectra Trips Pvt. Ltd. through an accepted written communication channel.
The date on which the cancellation request is received by the company will normally be considered for calculating applicable cancellation charges.
Hotels, airlines, ferry/cruise operators, helicopter operators, transport companies, activity providers and other suppliers may have their own cancellation and amendment policies.
Where applicable, supplier cancellation or amendment charges will also apply according to the confirmed booking conditions.
If a particular service is booked under a non-refundable or special-rate condition, the supplier's applicable cancellation terms may override the standard cancellation slab for that particular component.
Where a refund is applicable, it will be processed after adjustment of:
Applicable cancellation charges
Supplier cancellation charges
Non-refundable booking components
Payment gateway or banking charges, where applicable
Any other amount already committed or paid for confirmed travel services
Refund processing time may depend upon the concerned hotel, airline, ferry operator, transport provider or other supplier.
Refunds will normally be processed through an appropriate payment method after reconciliation of the booking account.
No refund will be provided for any hotel accommodation, sightseeing, meals, transportation, ferry/cruise journey, activity or other service voluntarily missed or not utilized by the guest after commencement of the tour.
Late arrival, early departure or personal changes in the customer's travel plan do not automatically qualify for a refund.
Hotel accommodation is subject to availability at the time of booking.
Hotels mentioned in quotations or itineraries may be replaced with a similar-category property if the originally proposed hotel becomes unavailable before confirmation.
Standard hotel check-in and check-out timings will apply according to the respective hotel's policy.
Early check-in and late check-out are subject to availability and may involve additional charges.
Room category, extra bed, child-with-bed and child-without-bed arrangements will be provided according to the confirmed package.
The type of vehicle provided will depend upon the number of passengers, destination, terrain and package confirmed.
Vehicles are provided according to the confirmed itinerary and are not necessarily available for unlimited personal use.
Additional sightseeing, detours, waiting time or travel outside the confirmed itinerary may involve additional charges.
Vehicle changes may be made where operationally necessary, while maintaining a reasonably similar category wherever possible.
Ferry and cruise services are subject to:
Seat availability
Sailing schedules
Weather conditions
Operational conditions
Government or port regulations
Operator decisions
Ferry timing, vessel or sailing schedule may change without prior notice.
Global Vectra Trips Pvt. Ltd. will provide reasonable assistance for alternative arrangements where required, but services remain subject to the concerned operator's rules and availability.
Where airline or helicopter services form part of a booking, the applicable carrier/operator's rules will apply.
Flight and helicopter operations may be affected by weather, technical conditions, government regulations, operational requirements or other circumstances beyond the control of Global Vectra Trips Pvt. Ltd.
Any refund, rescheduling or cancellation relating to such services will be subject to the concerned operator's applicable policy.
The company may modify the sequence of sightseeing or travel arrangements where reasonably necessary due to:
Weather conditions
Road conditions
Traffic restrictions
Government instructions
Local conditions
Ferry or flight schedule changes
Operational requirements
Safety considerations
Circumstances beyond reasonable control
Where possible, reasonable alternatives will be arranged without materially affecting the overall nature of the tour.
Any amendment requested after booking confirmation will be subject to availability.
Changes involving:
Travel dates
Hotels
Room categories
Number of passengers
Vehicles
Ferry/cruise services
Activities
Destination or itinerary
may result in additional charges.
Any difference in cost must be paid by the customer before confirmation of the revised arrangements.
All package prices, hotel availability, transportation rates, ferry/cruise fares and other service prices displayed or quoted before confirmation are subject to availability and prevailing rates at the time of actual booking.
A quotation does not guarantee availability until the applicable booking amount has been received and the concerned services have been confirmed.
Prices may change because of supplier rate revisions, government taxes, fuel surcharges, seasonal supplements or other circumstances beyond our reasonable control before confirmation.
Applicable GST, government taxes, entry fees, permits or statutory charges will be charged according to the package terms and prevailing regulations.
Any new tax, fee or government levy introduced after booking but applicable to the customer's travel may be payable additionally where required.
Customers are responsible for carrying valid identification and any documents required for their journey.
Depending upon the destination or service, passengers may be required to carry:
Government-issued photo identification
Age proof for children
Permits
Tickets or booking vouchers
Other documents required by the concerned authority or service provider
Failure to carry required documents may result in denial of service, for which Global Vectra Trips Pvt. Ltd. cannot be held responsible.
Customers are responsible for providing accurate information at the time of booking, including passenger names, ages, contact information, travel dates and other required details.
Any cost arising from incorrect or incomplete information provided by the customer may be payable by the customer.
Customers should carefully verify booking details and immediately report any discrepancy.
Global Vectra Trips Pvt. Ltd. will not be responsible for failure, delay or modification of travel services caused by circumstances reasonably beyond its control, including but not limited to:
Natural disasters
Severe weather
Floods or landslides
Road closures
Political disturbances
Strikes
Government restrictions
Epidemics or pandemics
Flight disruptions
Ferry cancellations
Technical failures
Operational restrictions
Acts of God
Where such circumstances occur, reasonable assistance will be provided wherever practically possible.
Any additional accommodation, transportation or other expenses arising from such circumstances may be payable by the customer unless otherwise covered by the concerned supplier.
Global Vectra Trips Pvt. Ltd. coordinates travel services with independent hotels, airlines, transport operators, ferry companies, activity providers and other suppliers.
These suppliers operate under their respective terms, policies and operational conditions.
Global Vectra Trips Pvt. Ltd. will provide reasonable assistance in resolving service-related concerns but cannot guarantee matters that are solely under the operational control of an independent supplier.
Requests relating to room location, adjoining rooms, meals, early check-in, late check-out, vehicle preference or other special arrangements will be forwarded to the concerned supplier.
Such requests remain subject to availability and cannot be guaranteed unless specifically confirmed in writing.
Only services specifically mentioned under the Package Inclusions of the confirmed itinerary will be considered included in the package price.
Any service not specifically mentioned as included should be considered excluded unless separately confirmed in writing.
Personal expenses, optional activities, additional meals, entry tickets and other services not included in the package will be payable directly by the customer.
Customers experiencing any issue during their journey should contact Global Vectra Trips Pvt. Ltd. as soon as reasonably possible.
Reporting an issue during the tour allows our team an opportunity to coordinate with the concerned supplier and attempt an appropriate resolution.
Payment of the booking amount or confirmation of travel services will be treated as acknowledgement that the customer has reviewed and accepted the applicable:
